Read, share and use with your team.
Gather relevant institutional policies, system rules, agreements and current uses. Identify what already answers the question before drafting a new rule. Record unresolved conflicts and route them to the people who hold the relevant authority.
Assign each topic a lead and the required contributors. Ask every group for the same concise output: recommendation, supporting reason, alternatives considered, remaining constraints and decision requested. Use the model policy as a shared reference rather than maintaining separate competing drafts.
Walk through a representative campus case, including an exception or failure. Can someone identify permitted information, responsible owners, required review and a correction route? Revise ambiguous language before sending the recommendation for approval.
A focused first meeting
State the institutional problem and the decision this meeting should advance.
Identify the applicable rules, the deciding authority and the people whose review is necessary.
Use one chapter’s campus scenario. Test the recommended position and examine the alternatives.
Agree on proposed language, unresolved issues, evidence needed and the decision to request.
Confirm the owner, approval route, next date and communication responsibilities.
Use one chapter and one decision at a time. Record the recommendation, rationale, unresolved matters, deciding authority and next owner in your institution’s own documents.
